How to read and respond to buyers' enquiries?
When buyers are interested in your products or services listed on hktdc.com Sourcing, they can send enquiries to you via the enquiry form.
You can check and reply to buyers’ enquiries through the Message Centre or email, capturing the potential business opportunities effectively.

Receive and Reply to Enquiries in the Message Centre
To view and reply to all received messages from buyers and hktdc.com Sourcing, you can go to the “Message Centre” page after logging in.
1. Log into your account.
2. Visit the “My Sourcing” page and click on the “Message Centre” option.
3. When you receive an enquiry, a conversation box will be automatically created in your Message Centre. Click on the “View Enquiry” button of the enquiry message to look into the enquiry details.
4. Our communication system between a buyer and a supplier uses instant messaging, instead of a conventional mail format.
Therefore, to start communicating with the buyer and facilitate the deal, you can simply type in your reply (e.g. ask for more detailed requirements for clarifications, list out your draft quotation based on their requirements mentioned in the enquiry form), or attach a document.
Press the “Send” button to send your message, or you
can press the "Enter" key to send the message and use "Shift + Enter" keys to start a new line.
5. The message will display with double ticks when the recipient has read the message.
- Single grey tick - the message has been sent
- Double orange tick – the message has been read by the recipient
The Message Centre offers a variety of features to enhance your communication with buyers. For a detailed guide of these functions, please refer to the subsequent articles within this section.
Receive and Reply to Enquiries via Email
When buyers make an enquiry or respond to your message, you will be notified through both the Message Centre and an email from the domain hktdcenquiry@sourcing.hktdc.org to your registered email account.
Information about the buyer (Buyer Name, Company Name, Country / Region, Type of Business and Email domain) and content of the enquiry (Product Specifications, Enquiry Content and Attachment) can be found in the email.
You can reply to the buyer by directly replying to the received email (to the domain hktdcenquiry@sourcing.hktdc.org). Your messages will be sent to the buyer via both email and the Message Centre.
For suppliers with multiple registered accounts on hktdc.com Sourcing, your communications with the buyers will be emailed to all the registered accounts.
Important Notes:
1) Sending or receiving messages via the email domain (hktdcenquiry@sourcing.hktdc.org) are NOT applicable to non-registered supplier accounts. Please contact your Customer Success Representative or click here to contact us if you would like to have multiple supplier accounts.
2) Communications with buyers can be conducted via email or the Message Centre. All the messages exchanged via email or the Message Centre can be found in the Message Centre.
3) For email with attachment(s), an error message will be received by email if:
- The attachment file name exceeds more than 255 characters or contains symbols other than period (.) and underscore (_).
- The attached file type is not jpg, jpeg, png, pdf, or tiff format.
- The sender attaches more than 4 attachments.
- The total email size exceeds 3MB.
- The sender has exceeded the daily attachment size limitation of 30 MB.
- If any of the above occurs, the system will continue to send the message to the receiver without the attachment(s)
